Who We Are


Ignite Hubs is a charity registered in England with the Charity Commission (registration number 1186658). This notice sets out Ignite Hubs’ (“we” or “us” or “our”) approach to protecting personal information and explains your rights in relation to how we process your personal information. Ignite Hubs is the data controller for the personal information we process, unless otherwise stated. We take your privacy seriously and are committed to protecting your personal information and we aim to be clear and open about our information and security practices. Where we ask you to provide us with any information by which you can be identified, you can be assured that it will only be used in accordance with this Privacy Notice, and in line with the UK Data Protection Act 2018 and the UK General Data Protection Regulation (UK GDPR).

What Information We Collect About You

Participants

We collect information that you have directly provided us through our website www.ignitehubs.org.uk (such as the registration form, Contact Us or donations page), or by phone, by email, by letter, or in person through attendance to any of our events, sessions or workshops. This information may include:

  • First Name and Last Name
  • Gender
  • Address, email address, telephone number
  • Date of Birth
  • Nationality
  • Technical data e.g. IP address, crash reports
  • Student learning and engagement data e.g. student responses to activity questions and surveys
  • School details
  • Demographic details e.g. postcode, interests and achievements
  • Documents provided for Bursary applications
  • Details of any health conditions, special education needs and disabilities
  • Languages spoken
  • Photos

Volunteers and Employees

We collect information that you have directly provided to us through signing up to be a volunteer or as part of your application for employment including information required for us to meet our legal obligations including personal information which is obtained indirectly e.g. from a referee as part of a reference, government agencies e.g. tax code or National Insurance number etc. This information may include:

  • First Name and Last Name
  • Gender
  • Address, email address, telephone number
  • Date of Birth
  • Recruitment Data
  • CV
  • Other Information required for employment (NI number, bank details etc)
  • Application forms
  • References
  • Right to Work
  • Photo identification e.g. Passsport
  • Criminal Conviction Checks e.g. DBS Certificate for frontline volunteers
  • Special category data (e.g. health data such as a sick note supplied by an employee)

Other

We also process personal information relating to supporters e.g. contact details of supporters who make monetary donations or tech related products e.g. laptop or Coding Kit. We process personal information when we collaborate with other businesses, educational institutions such as other schools, local authorities etc. In these instances, in most cases the category of data processed is limited to name and contact details such as email address and telephone number.

The personal data we collect will be used for the following purposes:

  • To register or volunteer for our services
  • To register e.g. student for a course (including parent or guardian’s details as appropriate)
  • To register a volunteer to help us deliver our aims and ideals
  • As required to provide employment or take steps to offer employment
  • Enable us to communicate with all stakeholders i.e. students, parents/guardians, volunteers, supporters etc including for research
  • Our Financial Records
  • Funding
  • Child safety
  • Analytics to ensure we are providing the best possible service we can to you, or to enhance ignite hubs including marketing and operational efficiency.
  • Profiling to help us to make predictions and recommendations about services we provide, where we provide them, how they are delivered and/or optimised. To support our funding efforts we may also profile supporters.

Legal basis for using your information

We must follow the law when we are processing your personal information, at Ignite Hubs we rely upon the following lawful basis: Consent, Legitimate Interest, Contract or Legal Obligation.


Consent: We may rely on the consent that you provide to us at the point of data collection or disclosure to us to process such data for the purposes outlined within this notice. You can change your mind at any time, if you wish to withdraw consent please contact us at data@ignitehubs.org.uk, you can also unsubscribe from our marketing communication by selecting the options to unsubscribe/opt out. You have an absolute right to object to receiving marketing from us.

Legitimate interests: We may rely on our legitimate interests to process your personal data, provided that our interests are not overridden by your interests, fundamental rights, or freedoms. We may process your personal information in reliance on a legitimate interest in the effective and lawful operation of Ignite Hubs.

Contract: We may process your personal information where it is necessary for the performance of a contract to which you are party or to take steps at your request in order to enter such contract e.g. employment contract.

Compliance with legal obligations: We may process your personal data if necessary for us to comply with a legal obligation arising under an applicable law to which we are subject.

Sharing your information

We may have to share your personal data within appropriate levels of Ignite Hubs as long as this is necessary and directly related to the purposes we collected it for.

Ignite Hubs will not sell your information to any third party. We may share information with third parties who provide elements of services for us (data processors) e.g. a CRM system provider. We have contracts in place with our data processors. This means that they will use personal data only in accordance with instructions provided by us in order to deliver the agreed services. They will hold it securely and retain it for the period we instruct.

There may be occasions where we or an organisation acting on our behalf transfers personal data outside the United Kingdom, we will ensure that this is conducted in compliance with UK data protection laws in order to protect personal data including transfers on the basis of adequacy decisions as well as appropriate safeguards.

Where we store your information

We may store your data manually or electronically. Any data stored electronically will be stored in secure servers, and any data stored manually will be stored in our premises within the UK.

How long we hold your information

We may keep your information for different periods of time as per our Data Retention Policy. We process your personal information only for the purposes for which it was collected and securely destroy all personal information that is no longer required.

We use cookies which are essential to make this website work, we also use aggregated website performance and functional cookies that enables us to better understand how visitors interact with this website e.g. which pages are most visited.

a) The right to be informed - you have the right to know what personal data about you we are collecting and how we are collecting it, you can ask us at any time.

b) Right of access - you have the right to ask us if we are processing your personal data, and what we are processing.

c) Right to rectification - you have the right to ask us to correct any of your personal data that is incorrect or to complete any that is incomplete.

d) Right to erasure - this right, often referred to as the right to be forgotten applies under certain circumstances e.g. when we rely upon consent as a lawful basis for processing. You have a right to ask us to erase your personal data if we have no valid reason to continue to process it.

e) Right to restriction - you have the right to ask us to restrict processing of your data.

f) Right to object - you have the right to object to our processing of your personal data e.g. where we are processing for direct marketing purposes (including profiling) or relying upon legitimate Interest as our lawful basis for processing.

We will respond to any of the above requests within 28 days of receiving it.

Please note, we may ask for proof of identity before carrying out such a request.
